Property management AI maintenance line
The AI Maintenance Line for Property Managers
An AI voice agent answers every tenant call, day and night, turns each one into a work order with the unit and the problem, gets the flood at 11 p.m. to your on-call person right away, and leaves the dripping faucet for the morning.
Text (310) 731-4869 too — text it like a tenant and the AI answers by text.

Where maintenance calls slip through today
After-hours emergencies sit in voicemail
Water coming through a ceiling at 11 p.m. does not wait for the office to open. When the tenant gets voicemail, the damage spreads to the unit below, the owner hears about it before you do, and the repair is three times the size it needed to be.
Tenants say nobody calls them back
It is the most common complaint in property management reviews. Every unanswered call becomes a one-star review, a frustrated owner, and a tenant who does not renew.
Your on-call person gets woken for faucets
A call center that reads a script either wakes someone for every call or for none of them. Your on-call person ends up answering a dripping faucet at 2 a.m. and still misses the real emergency.
Requests arrive missing the details
Which unit, what exactly is wrong, can the tech go in, is there a dog. When the first call does not capture it, the second and third calls do, and your coordinator spends the morning on the phone instead of scheduling.
What your maintenance line handles
- Emergency or routine
- Active leaks, flooding, sewage, no heat in the cold, no water, no power, a lockout or a door that will not lock are treated as emergencies and sent to your on-call person while the tenant is still on the phone. Everything else becomes a work order for the morning.
- Which property and which unit
- The AI knows the caller on the first ring when they have called before, and asks for the property and unit before anything else when they have not, so the work order lands on the right door.
- Permission to enter and pets
- Asked on every request, so your maintenance tech knows before they arrive whether they can let themselves in and whether there is a dog behind the door.
- Office business, not maintenance
- Rent, deposits, leases, notices and neighbor complaints are taken as messages for the right person in your office. The AI never gives legal or lease advice and never promises what the office will do.
Three calls your line gets every week
11 p.m.: water coming through the ceiling
CallerTenant in a second-floor unit, calling about water from the unit above
The AIThe AI answers on the first ring, asks for the property and unit, and asks whether anyone can shut the water off at the valve or the main. It tells the tenant the on-call maintenance person is being alerted now, sends the alert with the unit, the problem and the callback number, and writes the work order before the call ends. The tenant gets a text confirming the request.
Saturday: 'My kitchen sink drains slowly'
CallerTenant, routine request, nobody home on weekdays
The AIThe AI takes it as a routine request: what is happening and since when, permission to enter if no one is home, and any pets. It books the first maintenance opening or tells the tenant the office will schedule the maintenance tech, then texts them a confirmation. Nobody gets woken.
Monday morning: 'When is my deposit coming back?'
CallerFormer tenant with an office question
The AIThe AI does not guess or give advice. It takes a message with the name, the unit and the best number for the person in your office who handles deposits, says the office will call back, and puts the message where your team will see it.
Not a generic answering service
- It answers like a maintenance coordinator, not a call center. A script-reading call center takes a message. CallerWho asks the questions your coordinator would ask, decides whether it is an emergency, and writes the work order while the tenant is on the phone.
- A tenant is never quoted a price. On a maintenance line the AI never mentions a fee, a price or a payment to a tenant. If they ask who pays, it says the office decides and will let them know.
- You stay in control. Your line rings your office first; the AI answers when nobody picks up, after hours, or always — you choose. A transfer to a real person is there on demand, and one switch sends every call back to your team.

Property management AI maintenance line — FAQ
Does it work with AppFolio, Buildium, Yardi or Rent Manager?
Not directly today. Work orders and tenant texts come from CallerWho, and your team sees every request and message in one place. We go through how it fits your software on the setup call.
How does it decide what is an emergency?
Active leaks and flooding, sewage backups, no heat in cold weather, no water, no power to the unit, a lockout, or a door or window that will not lock are emergencies. Gas, smoke or fire: the tenant is told to get out and call 911 or the gas company first. You can add your own rules for what counts.
Will it ever quote a tenant a fee?
No. On a property management line the AI never mentions a fee, a price or a payment to a tenant.
What about fair housing?
The AI treats every caller the same, asks only about the maintenance problem, and never screens or advises on applicants.
What does it cost?
We are taking a small number of Southern California property managers as design partners. It is free until your first work order goes out, plus seven days. Pricing for property managers is per door and is set with you on the setup call.
How long does setup take?
About fifteen minutes on a call with our founder. Keep your number and forward the maintenance line to us, or take a new local number.
Never miss a maintenance call again
Every unanswered tenant call is a leak that gets worse, a review that says nobody called back, or an owner who hears about it first. CallerWho, based in the Santa Monica area of California, answers your maintenance line day and night, writes the work order, and gets emergencies to your on-call person. Hear it yourself: call our property management demo line at (310) 731-4869, any time, and play one of your tenants.
The demo is the phone line. Call it 24/7 and play one of your tenants, or text the same number.
